Setup Experience Availability

What does it do?

This page allows you to configure each Opening Hour Template against your Experiences.
Experiences are listed across the top, and templates are listed down the side. The cog between each one is used to configure that particular template with that particular experience. Multiple templates can be configured per experience and vice versa.

Understanding the page.

Select Location... If your system has multiple locations set up, you'll see a dropdown on the right hand side. When a location is selected, only that location's section will show, which contains only experiences available at that location and templates available at that location.
Template Groups If your templates have been grouped on the Opening Hour Templates setup, you can tick which group you'd like to view, and only those templates will show.
Red Cog  If the cog between a template and an experience is red, this means there is no availability configured for this combination, so the template cannot yet be used for that experience.
Green Cog If the cog is green, there has been some configuration for that combination and the template will show in the Week Options dropdown for that experience.

Setting up Availability.

Clicking the cog between an experience and a template will allow you to set the units, pricing type, and other config for those time slots.

  • Total Units is the total number of spaces you have per time slot. If this is the same for all days and time slots you can just enter the number of units, click [Select all days], and Apply. If it differs throughout the day or the week, you can enter the units and choose the Start/End time and days you want to apply it to.
  • Once units have been applied, the number will appear in the slot on the diagram on the right hand side of the page.
Example: Entering 100 in Total Units, leaving Start/End time as is, and selecting all days will put 100 in each time slot.

  • Pricing Types works the same way as units - choose the pricing type you want to apply and the times and days it's used for and click Apply.
  • Once a pricing type has been applied, the slots will change colour to the pricing type colour. If you have multiple pricing types using the same colour, you can hover over the slot and it will display the pricing type name.
Example: Off Peak weekdays and Peak weekend

Additional Settings.

Slots only available in till? To use this, add in the total units and the times you want to apply it to, and tick this setting before clicking Apply. The slots updated will show a till icon, and will only show in the till and be hidden on the website.
Add auto-blockouts to manifest To use this, add in the total units and the times you want to apply it to, tick this setting and click Apply. The updated time slots will show a block out icon and be created with a block out already in the booking calendar when this template is used. The block out can be removed via the booking calendar for each time slot if/when needed, but any time this template is applied to a new week, the block outs will always be in place.
Reset Unit Slots This allows you to remove any configuration for all time slots for certain days. To change a cog on the main page from green to red and remove the template from the Week Options dropdown, click [Select all days] and Apply here, and it will reset it and unlink the template from the experience completely.
